User Management Admin Screen
Use the User Management admin screen to manage Viewer and Creator licenses in Emburse Analytics. Administrators can change user types or remove users based on available licenses and subscription level.
The number of available Viewer and Creator licenses depends on your organization’s subscription. For details about user roles, see Emburse Analytics user types and roles.
Access User Management
Open the settings menu to view license counts and manage users.
Select the Settings button in the upper right corner of Emburse Analytics.
The screen displays active and remaining Creator and Viewer licenses, along with a list of users.
If a user has access to Emburse Analytics but has not logged in for the first time, the user does not appear in the User Management list.
License Management
Licenses are assigned the first time a user logs in, based on their permissions and available licenses.
- Emburse Enterprise: Permissions are assigned through the user’s person record. See “Assign Creator and Viewer Permissions” in Emburse Analytics User Types And Roles.
- Emburse Professional: Users are assigned Viewer permissions by default.
- Emburse Spend: Users are assigned Viewer permissions by default.
After a user logs in, administrators can update the assigned license or remove the user from Emburse Analytics. Users who have not logged in cannot be searched in the User Management screen.
Emburse Enterprise User Types
Only users granted the Advanced User permission in their Emburse Enterprise person record can be assigned a Creator license. Changing a license in User Management does not update the person record in Emburse Enterprise.
Emburse Professional Expense User Types
For Emburse Analytics free-tier customers, only users with the Accountant role can be granted Viewer or Creator access through User Management.
For Emburse Analytics Pro customers, users with the Accountant, Manager, or Executive role can be granted Creator access through User Management.
Certify AP User Types
Users with the Accountant, Employee, Manager, or Executive role can be granted Creator access through User Management.
Emburse Spend User Types
Users with the Administrator role can be granted Creator access. Users with the Manager role receive Viewer access when they log in to Emburse Analytics.
Edit User Type
Change a user’s license type from Viewer to Creator or vice versa.
On the User Management screen, search for the user. If the user name is not found, have the user log in to Emburse Analytics for the first time, and then try your search again.
Select the More button, then select Edit User Type.
Select the new user type, then select Apply.
Remove a User
Remove a user to free a license when it is no longer needed.
Removing a user also deactivates any schedules or burst schedules assigned to that user. Reassign schedules first using the Schedules admin screen or Burst Schedules admin screen.
On the User Management screen, search for the user.
Select the More button, then select Remove User.
On the confirmation screen, select Remove.
Removing a user frees a license in the license count. If licenses are still available, the user can regain access by logging in again. No other product permissions are changed by this action.
Access By User Type and Subscription
User capabilities depend on license type and subscription level.
