User Management Admin Screen

The number of Viewer and Creator licenses available depends on your organization's subscription. The User Management admin screen allows an Emburse Analytics Administrator to manage licenses by changing user types or removing users from Emburse Analytics. For complete details on user types, see Emburse Analytics User Types and Roles.

To access User Management, click the gear in the upper right corner of Emburse Analytics.

You will see the number of active and remaining Creator and Viewer licenses, as well as a list of all your users. 

If a user has access to Emburse Analytics but has not logged in yet, the user will not appear on the User Management screen.

License Management

The first time users log in to Emburse Analytics, they are granted a license based on their permissions and the available Emburse Analytics licenses.

  • Chrome River user permissions are assigned via their person record. See "Assign Creator and Viewer Permissions" in Emburse Analytics User Types and Roles for complete details.
  • Certify users are assigned Viewer permissions by default.
  • Emburse Spend users are assigned Viewer permissions by default.

After a user has logged in to Emburse Analytics, the Emburse Analytics Administrator will be able to find that user’s name in the User Management admin screen and change the user’s assigned license or remove the user from Emburse Analytics. Users who have been granted access to Emburse Analytics but have not logged in will not be searchable in the Emburse Analytics User Management admin screen.

Chrome River User Types

Only users granted the Advanced User permission in their Chrome River person record may be assigned a Creator license. Using the Emburse Analytics User Management screen to downgrade permissions from Creator to Viewer will not alter the permissions on the person record in Chrome River.

Certify Expense User Types

For Emburse Analytics free-tier customers, only users with the Accountant role may be granted Viewer or Creator access via the User Management admin screen.

For Emburse Analytics Pro customers, users with the Accountant, Manager, or Executive role may be granted Creator access via the User Management admin screen.

Certify AP User Types

Users with the Accountant, Employee, Manager, or Executive role may be granted Creator access via the User Management admin screen.

Emburse Spend User Types

Users with the Administrator role may be granted Creator access via the User Management admin screen. Users with a Manager role are granted Viewer access at login to Emburse Analytics.

Edit User Type

On the User Management screen, find the user's name in the list using the search bar. Click the More button and select Edit User Type.

If the user name is not found, have the user log in to Emburse Analytics, and then try your search again.

On the Edit User Type screen, select the desired user type and click Apply.

Remove User

Removing users may be necessary when license counts have been exceeded or when a user no longer needs the license. Removing a user will release a license and remove the user name from the User Management screen.

On the User Management screen, find the user's name in the list using the search bar. Click the More button and select Remove User.

On the Remove User confirmation screen, click Remove.

Removing a user via the User Management screen frees up a license in the license count, but no other setting or permission is altered by this action. If there are still licenses available, a removed user can reinstate the license by logging in to Emburse Analytics again.

Emburse Analytics Access by User Type

Users' access to the various features of Emburse Analytics depends on their user type and your organization's subscription level. This table describes the capabilities of each user type within each subscription level of Emburse Analytics.
